How should I present my report?• READ assignment guidelines in your course outlines. Reading these instructions will inevitably save you hours in that final effort to finish the report.• Impress your marker by making it look like a professional report. You can do this easily because many word processing programs have a report template you can use or adapt.• Type your report; it makes your work easier to read. Calculations can be done by hand, but adhere to the following guidelines: Rule up your page. Put answers to all your calculations in a right hand column. This stops the reader from having to search your page for them. Double space your work. Don’t squash visuals and text together.• Everything must be geared towards making it easy for your readers. See our brochure on Technical Writing for additional advice on language and layout of reports.• Look at past reports. The library has thesis reports (hard copy and online) in the collection. Your school also has 4th year honours thesis reports and Masters and PhD thesis reports.Remember, keep it simple!

  1. What was the original request? Does your work fulfil the requirements?

  2. What does the audience need/want from your report? Have you included it?

  3. When editing your report, retain what is important/ relevant, delete what is not.

  4. Is there much repetition? Can you merge or delete sections?

  5. Do your conclusions come from your findings and not from generalisations?

Presentation Skills• A focused and understandable communication of ideas underlies all forms of trainingcommunication,• Whether in the form of a presentation at a meeting, leading a discussion, or training people to use new skills.• Your decisions about which visual aids to use and how to maximize their visual impact can make a striking difference in the strength and clarity of your presentation.Choosing visual aidsVisual Aids• Appropriate, purposeful and timely visual aids and activities will enliven your talk and aid learning by providing a change of activity or focus.• Visual aids can reinforce learning by stimulating other senses than just the aural – the audience can see as well as listen.Visual aids should be highly relevant, simple, easy to understand, bold and interesting.• They must be congruent with the spoken message and easily visible – even at the back of the room!• Complex visuals and models can be built up step by step; the presentation of figures cries out for graphs and charts.• In the array of media to choose from, be aware of the strengths and weaknesses of each and use them appropriately and to maximum effect. Whiteboards• Whiteboards are easy to use and have no mechanism that can go wrong (except where the wrong pens are used!)• They are flexible and old content can be quickly erased.• But they are best suited to small audiences; writing (legibly!) takes up time and specialwhiteboard pens must be available (and usable!).• Ad hoc writing involves turning one’s back on the audience. Flip charts• Flip charts are easy to use, readily available, cheap, versatile and reusable; they can be prepared in advance and revealed as required or created during the lecture.• But their writing area is limited, they can be difficult to write on legibly and are best only for small audiences.• As with whiteboards, ad hoc writing involves turning one’s back on the audience. PowerPoint slides• PowerPoint slides can be both a blessing and a curse –• a blessing in that they enable professional quality slides to be easily assembled beforehand (perhaps with help) that are both highly visible (with the right size screen) and attractive.Use no more than 6 lines of text per slide. Use no more than 7 words per line of text. Avoid using a number of text slides in a row during the presentation.Make it CLEAR!• If the information in the visual isn’t easy to see or read, the audience will be trying tofigure it out instead of listening to what you have to say.• That’s the first step towards losing the attention of an audience or confusing them.Keep it simple (KISS)• The visuals you use should introduce only the essential elements of concepts you’ll discuss.• The audience ought be able to get the point of the visual within the first 5 seconds after it appears.• During that short period, don’t say anything – allow the audience to absorb the information.• Then, when you have their undivided attention, expand upon what the slide has to say.Be Consistent in Thought, Word, & Deed!• Your goal in all presentations should be to educate and inform your audience.• You won’t satisfy this goal if you sidetrack or confuse the audience.• Make sure the stages of your presentation, and the visual aids you use, follow a logical sequence.• Use transitions to help the audience understand how successive stages are related to each other, and to the big picture.Finally• At the end of the presentation, the summary provides a way to recapitulate the main points you’ve made• It provides the audience with the sense that you’ve come full circle, completing the story you had promised to tell.• It also allows you to be sure you’ve covered all the points you’d planned to cover!1
