Background on the Laboratory Services Team:
The Laboratory Services Team (LST) is a key source of support for Ministries of Health and CHAI’s country teams, and works to address barriers to access and foster a healthy competitive marketplace for essential diagnostic testing in the HIV and TB markets. LST plays the lead role in coordinating work globally on access to diagnostics, working closely with diagnostics manufacturers, governments, and multilateral organizations to lower prices, increase access to testing, and accelerate the entry and uptake of new innovative products.
Overview of Position:
LST is seeking an Associate to support the team’s operations and management of LST’s grants, which aim to scale up essential diagnostic testing in resource limited settings in order to improve patient outcomes. This will involve building and managing relationships with a broad set of internal and external stakeholders and liaising with various CHAI teams to ensure smooth operations of the program and compliance with grant requirements. This role will require candidates to develop familiarity with LST programs globally, as well as their implementation at the country level, including funding, planning, implementation and monitoring & evaluation. The Associate will also provide support to LST’s Associate Directors to ensure effective implementation and monitoring of project activities. Candidates must demonstrate an ability to assess issues, think creatively to resolve problems, and determine when to escalate to other team members.
The Associate will need to possess analytical ability, communication skills, exceptional diplomacy and tact, and organizational and project management skills. The candidate must be able to function independently and flexibly, operate effectively in an environment with a high level of ambiguity and uncertainty, and have a strong commitment to excellence and attention to detail. Support the program management of LST’s diagnostic grant portfolio:
-
Ensure full compliance with policies, practices, and procedures relating to all aspects of grants, and elevate potential issues with LST senior management – with the ability to anticipate delays or obstacles, and identify and communicate if documents or reports are out of compliance

Support preparing reports and presentations for a variety of purposes and audiences – with the ability to summarize facts and progress to help support program needs, decision making and project execution

Coordinate with LST’s program, technical, and country support teams and liaise with country teams to maintain accurate and timely program and grant data collection and reporting documentation
-
Build and manage relationships with critical internal stakeholders in country offices, and work in close collaborations with various divisions across CHA
-
Support the production of donor reports (financial and narrative), project proposals, project memos, disbursement requests, and other communication materials
-
Manage the procurement process, monitor the commodity budget, track orders, and troubleshoot delivery issues for the procurement of diagnostic products

Establish a tracking system of project activities, targets, and milestones

May include other programmatic activities to support grant objectives in response to ad hoc requests

Support the production and content development of communication materials, including presentations, newsletters, case studies, internal briefing documents, and other communications platforms

Develop and maintain effective processes to facilitate efficient operations of LST

Proactively develop and maintain the operational systems, processes, tools, policies, templates, and SOPs in support of LST’s goals – specifically support management reporting, information flow, business processes and organizational planning

Develop and manage the calendar of donor report due dates, and budgeting and work planning milestones, and liaise with LST senior management and staff to ensure the timelines are followed

Strengthen and maintain resource libraries and contact lists

Develop and maintain training content and resources to support onboarding of new staff

Provide support in managing LST budget

Additional operational/administrative tasks to support LST leadership as needed
Qualifications
- Bachelor’s degree and 3-6 years of work , preferably in an operational role involving highly complex, dynamic projects
- Detail-oriented with strong organizational skills
- Ability to gather and analyze information, recognize problems, and think proactively about solutions
- Excellent writing skills including ability to draft succinct and effective memos
- Ability to communicate effectively, diplomatically, and tactfully with people of varied professional, cultural, and educational backgrounds, including a variety of internal and external stakeholders
- Strong focus on end results while ensuring compliance with processes and procedures
- Entrepreneurial mindset, including ability to work independently, self-motivate, and propose and implement new ideas
- Ability to think strategically, handle ambiguity and uncertainty, problem-solve, multi-task and, set priorities in a fast-paced, high-pressure, limited-structure, and multicultural environment
- High level of proficiency in Microsoft Office, including Word, PowerPoint, Excel and Outlook
- Willingness to work flexibly across timezones
- Ability to travel domestically and internationally as needed
- Ability to learn on the job quickly and absorb/synthesize a broad range of information
- Strong interest in programmatic and technical contents of LST’s work
Preferred Qualifications:
- Familiarity and in global health sector, particularly HIV/AIDS and/or TB
- Experience working with procurement and/or supply chain management issues
- Experience working directly with executives and those in high level positions
- Experience working in management consulting, business strategy groups, law firms or similar fast-paced results-oriented environments
