Your Challenge

As Executive Assistant you provide office administration, secretarial and organizational support to the members of the International Management Team (IMT) and in particular to the Managing Director (MD), the Director of International Programmes (IPD) and the Director of Shared Operations (DSO). Activities are of a confidential nature.

Your Responsibilities

  • Coordinate and arrange meetings for the supervisory board, the IMT, Shared Operations and International Programmes
  • Serve as the point of contact for IMT members, the MD, DSO and IPD both within the organization and elsewhere
  • Manage and keep track of IMT member calendars, send reminders for scheduled meetings, establish priorities and update calendars
  • Provide organizational support by arranging various meetings and any required facilities/resources
  • Follow-up on decisions & actions and keep track of these. Provide office administration and procedural support to help carry out decisions and handle any necessary preparations / supply any required information by means of facilitation
  • Draft and process correspondence and other material documents based on board instructions. Organize and oversee the board’s records
  • Keep minutes of meetings, write reports and/or summaries and take appropriate action to realize the progress of arrangements made
  • Organize & deal with appropriately incoming postal mail, emails and other documentation (hardcopy and electronic) by their importance to IMT decision making processes / consultations
  • Facilitate and organize meetings, conferences, travel and overnight accommodation etc. for the IMT and where needed for the supervisory board
  • Advise the IMT on process related and organizational matters
  • Identify problems in work processes as they arise. Put forward suggestions for improvements and takes appropriate action, subject to prior approval from the MD, DSO and IPD
  • Work together with the Business Support Team and serve as a backup for the Travel Officer when needed

Your Profile

  • HBO degree or higher
  • Minimum 5 years of work experience as Executive Assistant or similar role
  • Solid experience in administration with excellent organizational skills and attention to detail
  • Strong command of Windows Office at an advanced level, knowledge of Unit4 is an added benefit
  • Fluency in speaking and writing in English and Dutch
  • Capability to nurture contacts at various levels
  • Experience in balancing complex schedules, meetings logistics and priorities
  • Fully supportive of War Child’s mandate and mission
  • Available 32-40 hours per week, starting ASAP
  • In possession of an EU passport or a valid working permit and visa for the Netherlands.

Our Offer

  • Salary range from €2,734 to €3,399 gross per month, based on 40 hours per week (the exact step determined by the years of your relevant working experience)
