SayPro RECORDING STOCKTAKE DATA

The count can be recorded in a number of different ways.

1. Bar Code Readers.

If goods are bar coded a reader, or scanner, can be used to scan each item and then download it to a computer. This method is simple and requires only one person to operate the count.

2. Count Cards

An index card for each stock item and bin location can be used to record the counts. The cards are placed in each location and the counters enter the details as they progressively move along the aisles. Blank cards can be used to record "lost" items that are not in an appropriate location.

3. Count Sheets

Inventory items are listed on a sheet of paper with their location and description. The count is entered next to the item. When count sheets are used there is a tendency not to count items that are misplaced or not on the sheet.After the stock count or stocktake has been conducted and data reviewed to identify discrepancies/variances, organisational reporting processes should then be followed. Depending on the nature and timing of the stock check, reports that may be generated can include:

• stocktake variation reports identifying areas of discrepancy/variation and volume of stock involved
• reconciliation reports for reconciling what the stocktake determines is in stock and what should be in stock according to the organisation’s inventory records
• financial checks and valuation reports confirming the value of stock identified in the variation report
• End-of-period balancing procedures.
